Task Automation

AI task automation for the repetitive work every team dreads

Marketing, sales, operations, HR, support or finance: if your team repeats it every week, we turn it into a supervised routine. The work gets done in the background, and a person approves anything that matters.

What can be automated

Pick your team or your industry

A starting list of the tasks we automate with AI. Every business is different, so treat these as examples: if a task is repetitive and follows rules, it is usually a candidate.

Marketing teams

Less time assembling reports and resizing posts, more time on ideas and campaigns.

  • Weekly performance reports

Google Ads, Meta, GA4 and Search Console pulled into one report with plain-English commentary.

  • Content repurposing

One article or video turned into social posts, email copy and ad variations in your brand voice.

  • Social scheduling & replies

Posts queued across channels, comments and DMs triaged, with draft replies for approval.

  • Lead routing & enrichment

New leads scored, enriched with company details and sent to the right person in your CRM.

  • SEO monitoring

Rank drops, broken pages and new keyword opportunities flagged every week.

  • Competitor & review watch

Competitor changes, brand mentions and new reviews summarised, with suggested responses.

  • Budget pacing alerts

Overspending or under-delivering campaigns flagged before the month is lost.

Routines we run today

Routines our team runs today

We started where our own team works every day: finance and operations for e-commerce and consumer-goods businesses. These routines are in production now, and the same approach applies to every team above.

Weekly

Amazon settlements → sales receipts & journals

The weekly Amazon settlement report is split by brand, turned into inventory sales receipts, and the fees, refunds and reserves become a balanced journal entry ready for your accounting system.

  1. Settlement report
  2. Sales receipts
  3. Fees journal
  4. Posted & tied out
Weekly

Walmart reconciliation → receipts & fee journals

Walmart Marketplace reconciliation reports become sales receipts per settlement, with commissions, shipping charges and deductions journalled to the right accounts.

  1. Recon report
  2. Sales receipts
  3. Deductions journal
  4. Deposit matched
Weekly

Retail-chain scanned sales → sales receipts

For a brand selling through a US convenience-store chain, store-level POS scanned-sales reports are mapped to SKUs and imported as sales receipts, so stock and revenue stay accurate every week.

  1. POS store report
  2. SKU mapping
  3. Sales receipts
  4. Stock updated
Twice daily

CRM orders → sales order, shipment & invoice

For a consumer-goods brand, distributor orders are read from the CRM and posted into inventory as a linked sales order, lot-matched shipment and invoice. Totals are checked against the distributor's paperwork before posting, and orders that match are processed without manual input.

  1. CRM order
  2. Sales order
  3. Lot-matched shipment
  4. Invoice
Weekly

Warehouse shipments → shipments & invoices

For a multi-channel lifestyle brand, the 3PL's shipped-items export is reconciled to open wholesale orders. Clean orders are shipped and invoiced automatically; mismatches are held with a suggested fix.

  1. 3PL export
  2. Reconcile to orders
  3. Ship + invoice
  4. Exceptions held
Monthly

Intercompany reconciliation

Invoices and shipments from the selling company are matched to item receipts in the buying company, month by month and item by item, with a list of what was billed but not yet received.

  1. Seller invoices
  2. Buyer receipts
  3. Match by item
  4. Exceptions list

Client names are kept confidential. Amazon and Walmart are the sales channels involved, not our clients.

Email automation

An inbox that organises itself and drafts its own replies

Built by the STELZAI development team. It reads and organises your email, prepares responses and follow-ups, and lets you act on everything from one dashboard.

Reads & organises

Every incoming email is read, labelled by client, topic and urgency, and filed, so the inbox sorts itself.

Highlights what matters

Important emails are surfaced at the top with a one-line summary of what is being asked and by when.

Prepares replies & follow-ups

Draft responses are written in your tone, ready to approve. If nobody answers, a follow-up is prepared on schedule.

Creates reminders

Deadlines, promises and requests found in emails become reminders, so nothing depends on memory.

Executes actions from one dashboard

Approve a reply, assign a task, start a routine or update a record directly from your email dashboard, without opening the mailbox.

Close-out reports

An end-of-day or end-of-period report shows what came in, what was handled, what is still open and who owns it.

Marketplace customer queries

Replies to Amazon and Walmart buyer messages are drafted for approval, so your team can answer within the marketplace's response window.

You stay in control

Reading, sorting and drafting are automatic. Nothing is sent without your approval, unless you set a rule for specific routine replies.

How a routine works

Automated, but never unsupervised

Every routine follows the same six steps, so it's fast when things are normal and careful when they're not.

  1. 01

    Trigger

A schedule, a new file in a folder, or an email arriving.

  2. 02

    Read

Reports, exports, CRM or API data are pulled in and cleaned.

  3. 03

    Reconcile

Totals, SKUs and customers are checked before anything is created.

  4. 04

    Preview

A dry-run shows exactly what would be posted. Nothing is written yet.

  5. 05

    Approve

You, or a rule you've set, gives the go-ahead.

  6. 06

    Post & verify

Entries are created, then re-read to confirm they landed correctly.

Built-in safety

Designed so a bad file can't wreck your books

Automation that writes to accounting and inventory systems has to be careful by default. These rules are built into every routine we deliver.

  • Dry-run by default: see the plan before anything is posted
  • Duplicate protection: a file already posted is detected and skipped
  • Every entry traceable to the source report and line
  • Items that don't reconcile are held, not posted; a run stops if the source file fails validation
  • Exceptions held with a plain-English suggested fix
  • A permanent log of everything the routine created

FAQ

Task automation FAQs

Which tasks are worth automating?+

Anything that repeats on a schedule and follows rules, in any team: reports, data entry, follow-ups, scheduling, document handling, reconciliations. If it takes someone more than an hour a week, it's usually worth it.

Do you only automate finance tasks?+

No. Finance is where our team started, so those are the routines already in production, but the same method works for marketing, sales, operations, HR, customer support and industry-specific work such as construction, property, creators and hospitality.

What happens when a report looks wrong?+

The routine doesn't guess. It holds the affected items, explains what doesn't match, suggests a fix and carries on with everything that does reconcile.

Do we need to change our software?+

No. We work with what you have: QuickBooks, Xero, SOS Inventory, Shopify, Salesforce, spreadsheets, marketplace reports and warehouse exports.

Can a person still review everything?+

Yes, and we recommend it at first. Every routine has a preview step. Once you trust the results, clean runs can be set to approve automatically.
